01Build an indexed set
Group drawings, manuals, parts lists, inspection evidence, calibration records and commissioning results by equipment identifier. Include the final installed configuration rather than only proposal drawings. Record document dates and revisions so superseded information is recognizable.
02Preserve operating knowledge
Keep approved settings, alarm definitions, service intervals and utility requirements in the handover package. Note unresolved items and agreed limitations. A password or control backup should be managed through the customer's appropriate access process, not left in an untracked public document.
03Assign ownership
Name the team responsible for updating records after modifications and maintenance. Verify that operators and service personnel can access the documents they need. A complete delivery folder loses value quickly if later changes never reach the controlled copy.
